How can I reduce the file size of a scanned PDF file?

It seems like a lot of folks are struggling with the size of scanned PDFs. Below are excerpts from two emails I received recently:

My [Fujitsu] ScanSnap makes PDFs that are too big . . . like around 60K per page! What can I do to make these smaller in Acrobat?

I have to eFile [with the Federal Court] and am having to split the filings into many segments to go through the [Court] gateway. The issue seems to be with documents that are scanned on our network scanner. PDFs produced directly from Word are a lot smaller. Is there some trick to reduce the size of scanned files?

Adjust your settings.

Leave as default, or fine-tune your settings as needed. You can switch to different aspects of your PDF (Images, Font, Transparency, etc.) by using the menu on the left side of the window. You can choose to not optimize specific aspects by unchecking the boxes next to each menu item. This can be useful if you want to optimize the text but leave the images unaltered.

I scanned some of my personal documents in PDF format on Mac. The files were big sized for any email attachment and so I started looking for some application or free solution to reduce these PDF documents. The first solution that was readily available on my Macbook was to use Preview.

You can open a PDF document in preview mode and then select File–>Export. In export dialog select Reduce File Size for Quartz Filter and click save. A PDF file will be created by the specified name in export dialog with a minimal file size. However the export is not good for use as it substantially reduce the resolution and hence was not a good solution.

Then i stumbled across another simple and free solution. You need to download the below given filters and copy it to the appropriate location as per your OS.

If you have a pdf with scanned images, you can use convert to create a pdf with jpeg compression (You can use this method on any pdf, but you'll loose all text informations).

For example:

convert -density 200x200 -quality 60 -compress jpeg input.pdf output.pdf

Adjust density (e.g. 100x100) and quality to your needs.

Depending on your input jpeg compression might not be the best choice due to compression artifacts. You have the choice between BZip, Fax, Group4, JPEG, JPEG2000, Lossless, LZW, RLE or Zip as alternate compression methods (some only allow b/w images). For details see here.

If you are scanning multiple pages at the same time (as in one scan only), the dpi settings would be the same for every page.

To save your settings so you don't have to keep reapplying them follow these instructions:

Open HP Solution Center.

Click on Scan Document.

Click on which scan shortcut you would like to customize.

Then click on the "Change Settings' button.

Click on the "Advanced Document Settings" button. From there you can change the resolution (300, 600, etc). Click ok.

Then click on "Save to file Save Options" button.

Make sure "PDF" is chosen from the drop-down box and click on the "PDF Options" button. There you can change the image quality/file size. Move slider to left to reduce, or to the right to increase. Then click ok.

Click ok again.

Then click on "Save Shortcut" button. Give the shortcut a NEW name (a name that describes your new settings, etc) and it will save the settings that you've made....

In the context of scanning a document to PDF, can ayone explain the difference between "output resolution (ppi)" located in the Advanced Document Settings and the "Image Quality" slider located in the "PDF Options" (as described by several people, including lions99 above)?

Are the two settings related (ppi vs. the image quality slider)? Are they independent of one another?

My general understanding is that a higher ppi will result in better resolution/quality of the scanned PDF (with a corrolary increase in file size). The way it's being explained, it sounds like the "Image quality" slider bar is being used for the same purpose (i.e. decreasing file size). I'm not sure of the interplay going on between the two settings.

Further confusing myself, I just scanned the same one-page document to PDF twice as a test - for both scans resolution was set at 200 ppi, but for one scan I set the "image quality" slider at "low" and the other I set the slider at "high." The...
